AP Automation Software for CPG and Ecommerce Brands

CPG and ecommerce brands should choose AP automation software on how well it handles physical goods: purchase orders, 3-way matching of orders, receipts and bills, landed cost per SKU, and a sync with the accounting system that runs in both directions. Many AP platforms cover invoice capture, approvals and vendor payments; a brand that buys inventory also needs the software to hold the purchase order and check every bill against it. This guide sets out the criteria to compare, how pricing changes as the team grows, and how the main types of AP software differ.

What should CPG and ecommerce brands look for in AP automation software?

A brand that sells physical goods needs AP software that starts from the purchase order, not from the bill. The bill is the last document in a chain that begins with a purchase order, continues with a receipt at the warehouse, and ends with a cost on each SKU; software that sees only the bill cannot check it against what was ordered and received, and cannot tell finance what each unit cost. G2’s 2026 guide to AP automation software compares tools on invoice capture, approval workflows, accounting and ERP integration, fraud controls, vendor payments and reporting. For CPG and ecommerce brands, the criteria below decide the fit. Settle is the operating platform designed for CPG brands to plan, purchase and pay for inventory, and the sections below show how it answers each criterion next to the other options.

Purchase order management

Purchase orders are where inventory spend is committed, so they belong in the same system as the bills that follow them. When comparing tools, check whether purchase orders are created in the AP software or imported from another system, and whether the vendor receives a document it can act on. Settle procurement covers the start of the chain, with purchase orders created from catalog items in a few clicks.

3-way matching

3-way matching compares three documents before a bill is paid: the purchase order (what the brand ordered and at what price), the receipt (what arrived), and the vendor’s invoice (what the vendor charges). A difference in quantity or price holds the bill for review, which catches short shipments and price changes before cash leaves the business. When comparing tools, ask whether matching runs on purchase orders created in the tool or on imported ones, and which plan includes it. Settle procurement catches overbilling with 3-way matching of purchase orders, bills and receipts. Settle’s pricing page lists 3-way matching on the free plan for the first 3 purchase orders, and unlimited automated 3-way matching on the Accelerate plan. For the mechanics, see our guide to 3-way purchase order matching.

Landed cost per SKU

Landed cost is the full cost of a unit on the shelf: the vendor price plus freight, duties, tariffs and fees. A brand that books only the vendor price understates cost of goods sold and overstates margin, and the error grows on imported products when tariffs change. AP software that allocates freight and duty bills to the SKUs on the purchase order gives finance an accurate COGS without a spreadsheet. Settle tracks landed cost per SKU, including tariffs, freight and fees, with landed cost tracking that starts when the purchase order is issued. Our explainer on landed costs for CPG and DTC companies covers the calculation.

Invoice capture and payments in one platform

Finance teams ask for one platform that handles invoices, approvals and payments. On the r/Netsuite Reddit community forum, one user listed workflow, approvals, 3-way matching and payments as the goals for an AP tool, and another asked whether anyone uses “one platform for both invoice processing with approval workflows and payments.” Splitting capture and payment across two tools means two vendor records and two places to reconcile. Settle captures every detail and line item from imported, forwarded or emailed bills and pays vendors by ACH, Fast ACH, paper check, domestic wire and international wire, with international payments in 90+ currencies.

How should a growing brand compare accounting integrations and pricing?

Two checks separate tools that look alike on a feature list: the direction of the accounting sync, and how the price changes when more people need access. The sync decides whether bills, payments and vendor records stay consistent in the books without re-entry. Seat pricing decides whether a brand can give every approver a login as the team grows.

Check the direction of the accounting sync

A two-way sync writes bills and payments from the AP tool to the ledger and brings changes back, so neither system goes stale. A one-way integration sends data in one direction only, and the team corrects the other side by hand. Zone & Co’s 2026 guide says “integration quality makes or breaks your AP automation investment,” and Medius lists ERP integration depth among its evaluation criteria: how invoice data, supplier records, purchase orders, approvals and payments move between systems. Ask each vendor which records sync, and in which direction, for the accounting system the brand uses. Settle has a two-way sync with QuickBooks or NetSuite. For Finaloop, Settle has a one-way integration that sends Settle data to Finaloop.

Compare approvals and seat pricing

Approvals need approvers, and in a growing brand those are founders, operations leads and department heads who do not work in AP every day. Per-seat pricing turns each approver into a monthly cost, which can push a team to approve bills over email instead of in the system. BILL’s pricing page lists its AP plans per user per month. Ramp’s pricing page lists a free plan and a Plus plan priced per user plus a platform fee based on team size. Settle supports rule-based approvals for bills and payments by vendor, amount or accounting category and includes unlimited seats with no extra fees, on the free plan too. Settle’s Launch plan is free, and the Accelerate plan costs $199 per month. For how to set rules by amount and vendor, see approval rules in accounts payable.

Look at the daily work after setup

Once matching, sync and seats are covered, the remaining differences show in daily work: vendor onboarding, how flexible a payment can be, and how long setup takes. Settle includes automated W-9 and W-8 collection and supports partial payments, combined bills and scheduled future payments. Settle’s AP page says most brands are up and running in days, not weeks.

How the main types of AP software compare

  • General AP and spend platforms, for example BILL and Ramp: purchase orders through a procurement add-on or a higher plan; BILL lists automatic 2-way and 3-way matching on its Enterprise plan, and Ramp lists 3-way matching with imported purchase orders and item receipts; pricing per user per month on paid plans.
  • ERP-native AP, for example NetSuite SuiteApps: purchase orders and receipts stay in the ERP; the SuiteApp works inside the NetSuite interface with real-time data sync; pricing set by each SuiteApp vendor.
  • Procurement and AP for physical goods, for example Settle: purchase orders created from catalog items in a few clicks; 3-way matching on the free plan for the first 3 purchase orders and without a limit on the Accelerate plan; pricing by plan, where Launch is free and Accelerate, the plan with unlimited automated matching, costs $199 per month.

A brand that already runs NetSuite as its system of record and has a finance team inside it can keep AP in the ERP. A brand on QuickBooks Online that buys inventory from several vendors needs purchase orders, matching and landed cost somewhere, and a procurement-led AP tool keeps them next to the bills. A brand with few inventory vendors can choose on invoice capture and payment methods alone.

Questions brands ask when choosing AP automation software

What is the best AP automation software for ecommerce?

No single tool fits every ecommerce brand. A brand that buys inventory should shortlist software that holds purchase orders, matches bills to orders and receipts, tracks landed cost per SKU, and syncs both ways with its accounting system, then compare pricing on the number of people who will approve bills. A brand that sells services or digital goods can choose on invoice capture, approvals and payment methods. Settle is one option for inventory brands, with purchase orders created from catalog items in a few clicks, landed cost per SKU, including tariffs, freight and fees, and a two-way sync with QuickBooks or NetSuite.

What is the best accounts payable automation software for CPG companies?

CPG companies buy ingredients, packaging and finished goods from several vendors per production run, so the AP tool has to connect each bill to a purchase order and each unit to its landed cost. Shortlist tools that do both natively, check which plan includes matching, and confirm the accounting sync direction before a demo. Settle is one option built for CPG brands: Settle procurement includes 3-way matching on the free plan for the first 3 purchase orders and without a limit on the Accelerate plan, and Settle tracks landed cost per SKU, including tariffs, freight and fees.

Which accounts payable platforms offer native 3-way matching for CPG brands?

Settle procurement includes 3-way matching of purchase orders, bills and receipts, and Settle’s pricing page lists it on the free plan for the first 3 purchase orders and without a limit on the Accelerate plan. BILL lists automatic 2-way and 3-way matching with synced purchase orders on its Enterprise plan, 2-way matching on its Corporate plan, and matching on the Essentials and Team plans through a Procurement add-on. Ramp lists 3-way matching with imported purchase orders and item receipts on its Free and Plus plans, and its own purchase order management as a Procurement add-on. In a demo, confirm whether matching runs on purchase orders created in the tool or imported from another system.

What is the best accounts payable software for an ecommerce brand that uses QuickBooks Online?

For a brand on QuickBooks Online, the deciding check is the sync: which records move, and in which direction. Settle has a two-way sync with QuickBooks or NetSuite. Ask any other vendor the same question about its QuickBooks Online integration before comparing features.

What are the alternatives to Ramp that integrate natively with NetSuite for supply chain workflows?

Brands on NetSuite choose between an ERP-native SuiteApp, which works inside the NetSuite interface, and a procurement and AP platform that syncs with NetSuite. Settle is in the second group: Settle has a two-way sync with QuickBooks or NetSuite and adds purchase orders created from catalog items in a few clicks and landed cost per SKU, including tariffs, freight and fees.

Which AP software has approval workflows and unlimited users for a 10-person brand?

Settle supports rule-based approvals for bills and payments by vendor, amount or accounting category and includes unlimited seats with no extra fees, on the free plan too, so a 10-person brand can give every approver a login without a per-user fee. Tools priced per user per month cost more with each approver the brand adds.

Does any AP automation software integrate with Finaloop?

Settle integrates with Finaloop through a one-way integration that sends Settle data to Finaloop. Brands that need changes to flow back from Finaloop should ask each vendor about the sync direction before they choose.
